*REFER TO INFORMATION ABOVE WHEN BOOKING APPOINTMENT. DO NOT SKIP A STEP AND MAKE SURE TO HAVE THE CLIENT SPELL OUT THEIR NAME LETTER BY LETTER AND TAKE DOWN THE CORRECT PHONE NUMBER AS YOU TYPE IT OUT. DO NOT GUESS ANYTHING*
1) In Stratus, be sure to click on Calendar located at the top, click on PR Studio located in the right most column under Users and Resources if it’s not already selected, and select the clients desired date right above that.
2) Double click on the clients desired time and the Scheduling Wizard will pop up.
3) Click Next, Create a New Session, Next, Create a New Client Record, Next, and then you will end up at this client information screen. Fill out the STUDENT’S Last Name (1), First Name (2), take down a PARENT/GUARDIAN’S name in the Company Name box [ex: Krystina (mom)] (3), PARENT/GUARDIAN’S email (4), PARENT/GUARDIAN’S phone number and make sure to click the SMS check box next to the phone number (5) (this is to ensure the client get’s updates and notifications on their orders and appointments). Then click Next (6) twice.
4) Double click on the High School you are currently booking (1) and that selection should end up in the Client Groups Selected box located on the right (2). Click Next.
5) The Session Information screen will pop up. Fill out the Session Description box as followed: [name of school] Senior. Example: Campbell Senior.
6) Click the drop down menu next to Session Type and choose the school you are currently booking. In this instance you’re booking a Campbell Senior.
7) Click the drop down menu next to Photographer and change it to None (1) and make sure YOUR name is set next to Booked By (2). Then click Next.
8) This is the Session Organization window. Click the drop down menu next to Name and pick the school you are currently booking (1). Then click the drop down menu next to Graduation Year and choose the upcoming graduating class year (2). For example, if this year is 2025, the upcoming graduating class year will be 2026.
9) Click Next, Don’t create an Invoice at this time, Next, UNCHECK Print Session Confirmation, then click Finish. Your window should look like the example below before clicking finish.
10) After clicking Finish, you are all done! You just booked an appointment!
