Santa Stand Procedures

OVERVIEW

Expressions operates 3 Seasonal Stands during Easter and Christmas at Pearlridge Center, Ka Makana Ali’i and Kahala Mall. At these sets customers get to visit and take a picture with the Easter Bunny and Santa. Clients will either purchase a USB with 3-5 of their images on it or get prints.

BOOKING PROCESS

Clients can book an appointment online through designated booking links specific to each location.

ONLINE

  • Visit Expressionshawaii.net

  • Click on the drop down menu on the right

  • Go to Christmas Specials

  • Navigate to “Santa in the Mall”

  • Click on the desired location

  • Here customers can pick their date and time and any add-ons they would like to include

  • Bookings are $35 and include a USB with 3-5 images

  • Prints are extra and may be purchased at time of booking or at time of appointment

  • Frames and Snow globes are also available for purchase on a first come first serve basis.

Walk-ins are also accepted but appointments will be served first at their appointment time.

Please keep in mind some appointments will pre-order frames, prints, and snow globes. Make sure they get them before they leave.

WALK-IN

  • On Acuity make an appointment at the current time

    • Click custom and set the time for the current time

    • fill out all the info

  • Get their first name, last name, phone number, email

  • Ring them up on the Square before they stand in line for the USB

  • After their picture taking they will review their images

DAY OF APPOINTMENT

  • Client checks in at the front desk

  • Confirm name, phone number and email on Acuity

  • Introduce clients to Santa

    • Please allow for the children to interact with Santa and acclimate to the set

  • When ready have the children and parents sit at the designated seating location

    • If need, fit the clients in around the set

    • They must not climb on the set or go into the set

  • Make sure Darkroom is open so you can see the images come through

  • Take 3-5 Images

  • Photos will pop up in Darkroom at the top

  • Go to Photo workshop

  • Show the Clients the images they must look at their photos

  • On the right side find Boarder and click on

  • Using the scroll wheel zoom in and click to drag to crop

  • After the clients are shown the images

  • Plug in a USB

  • On the right order panel click USB

  • Then click 1 to add the image

  • Do this for all images of the client

  • On the desktop click and drag a copy of the copyright release on to the USB

  • Eject the USB

  • Give to client

If they have purchased prints

  • On the right panel click on the size of print the customer ordered

  • The printer will print the prints

  • Put all prints into a yellow manila envelope

Thank the Client for coming in and wish them a Merry Christmas

Opening Procedures

  1. Log into the computer

  • 7827

2. Open Darkroom on the computer

  • hit start

3. Make a new photo catalog

4. Name it todays date : Example: 112424

5. Click on the date to shoot to that event

6. Attach camera to tripod and turn on

7. Make sure there is no tension on the camera cable and that it is not hanging from the camera

8. Go to setup in Darkroom

9. Capture

10. Click Detect Camera (Only do this once the camera is on and plugged in)

11. Take a test shot at the beginning of the day to make sure the set is in frame, exposure is correct and the computer is connected to the camera

12. Count the drawer to $200 and start the drawer with the starting cash on the iPad

more > reports >start the drawer

13. Check the appointments for the day and put aside enough merchandise for the days appointments

Closing Day Procedures

  1. Turn off the Camera, take it off the tripod, take out battery and plug in

  2. Camera goes either into camera bag (KMA) Into cabinet (Kahala) or back to the studio (PR)

  3. Turn off light, take out battery and charge the light battery

  4. Count drawer to $200;

    **IF THERE IS TO MANY BIG BILLS PLEASE SAY SOMETHING TO THE MANAGER IN CHARGE OR JON. **

    ALWAYS KEEP ALOT OF $1 AND $5 IN THE TILL

  5. Dropping Cash Deposit:

    1. Ka Makana Ali’i- Cash goes to Mrs. Claus

    2. Kahala- Closing Cash Envelope

    3. Pearlridge- Closing Cash Envelope and drop into safe

  6. Close Darkroom

  7. Turn off computer

  8. Leave printers on

  9. Clean any trash, leave the area presentable


Photographers

  • You are responsible for making sure the images is the best it can be.

    You are checking

    • Positioning of the customers

    • Cropping

    • Lighting

    • Poses

  • If the image is shot too wide ask the clients if they would like it zoomed in.

    • Zoom in the image in Darkroom and make sure the client likes it

  • Do a smiling, Shaka, Funny Face, “Shhhh” Pose, Waving at the camera photos, You must get 3-5 different poses

  • Clients can do different groups during their appointment

    • ie. Kids only, whole family, grandpa and grandma

  • DO NOT GIVE OUT BAD IMAGES IE: blurry

  • MAKE SURE THE SUBJECTS ARE IN FOCUS

  • Camera should normally be at around 35mm


Troubleshooting

Camera disconnects

Check the cable connection on both camera and computer

Turn the camera off and back on

Restart Darkroom and reconnect camera

Make sure there is no tension on the camera cable

Printer isn’t working

Restart the printer by using the switch on the bottom right of the printer

On the computer navigate to the printer properties

register not working

check the USB cable to make sure the reader and receipt printer is plugged in

To reset unplug the power and reconnect after 5 seconds

Check internet connection- Connect to wifi puck or connect to mall wifi


Policy

Client does not want USB and wants print instead

  • Print the client 2 sheets. They will not receive the USB. No price difference

We do not cut the prints

Lost USBs- Replacement USB is $5

Santa can hold babies

Ka Makana Ali’i- Set manager is Mrs. Claus

Wrong Location Appointments

If the client shows up at the wrong location, they are able to go to the other set but they will be a walk in. If there are any openings you are able to move or book them another appointment.

WALK IN VS APPOINTMENTS POLICY

Appointments will be taken first but walk-ins will be taken immediately after.

If the appointment shows up 3 minters before their time and there is a walk-in waiting, take the walk in first

If the appointment shows up 1 minute before their time and there is a walk in waiting, take the appointment.

Fair is determined by the appointment time and length waiting in line.

Handing out fliers

  • we can hand out fliers outside our store front

  • we cannot walk around the mall or outside the immediate area

Clients Not Happy with the Santa

Clients will be able to go to the other sets. Either move their appointment or advise them they can visit the other location as a walk in.

If the client wants all the images (More than the 3-5)

Add all the images to the USB, No additional charge. DO NOT INCLUDE BAD PHOTOS (bad exposure, blinking, out of focus, bad cropping). Can include funny faces, goofy photos.

Clients can take their own Photos with their own phone for $10

If there is Not Enough Change

Kahala- need to go CPB to break change

Pearlridge- go to the studio

Ka Makana Ali’i- need to visit a nearby vender to break change

If there is a difference in the closing report of the drawer of more than $5
