Booking Appointments
Open Stratus
Click Calendar type PR STUDIO
Find a date and time the client would like to book
Keep appointments every 1 hour.
Only during senior season (June- Early Nov) do we book every 30 minutes.
Double click on the time desired
Creating or Searching for Client- Ask the Client if they have photographed with us before.
Yes- Select “Use Existing Clients” - search by last name and confirm first name and phone number
No- Click “Create New Client”- Collect first name, last name, email, and phone number (also click on the SMS box next to collected phone number.)
6. Click Next on the Bottom right twice
7. Client Groups- Depending on the type of session you need to select from the following
High School Senior Groups- Use the appropriate group based on the school the senior goes to
Birthday Club- if the client is doing a birthday club session
Regular- This encompasses: Family Photos, Passport, Newborns, Holiday Photos, Business Headshots
8. Client Details- Get as much info as possible to inform the photographer during the session
ie: number of people, what it is for, if there are kids under 5, special props. (example: Family/6 (3 yr + 5 yr) <-- this means there are 2 kids in that total of 6 people)
9. Set Session Type- Select the appropriate type
ie: Passport, Sports, Business Headshot, Senior, Family Photos etc.
Check thoroughly for the session type that you are booking. Not setting this correctly could result in missing images down the line.
10. Click next and unselect print session confirmation
11. Important: **Collect a $25 deposit for the client to schedule their appointment. **Tell the client the “Deposit is non-refundable but it does go toward the client purchase. The deposit is to hold the time and place of the appointment. If you need to reschedule make sure you give us a 24 hour notice, if not, your deposit will be forfeited.”
This is only for Family Photos, Holiday specials and Headshots.
NOT APPLICABLE TO: Senior Portraits, Birthday Club, Sports, Passport
12. Collect client credit card information and ring up the clients credit card on square **We do not keep any client credit card information.
After collecting the $25 deposit and the appointment is made, make sure you print out a receipt and put the receipt in the “Daily Signed Invoice” bin.
13. Session is Booked
Check to make sure it pops up on the calendar
